Role:

We’re looking for an experienced and detail-orientated Billing Manager to join our team and take ownership of the billing process across our portfolio of CPA firms. In this role, you’ll be responsible for ensuring that client invoicing is accurate, timely, and aligned with engagement terms—helping our teams stay organized and our revenue and WIP properly tracked and managed. Your background in a CPA firm setting will be key to understanding the nuances of professional services billing, from WIP tracking to partner preferences and client-specific arrangements.

Key Responsibilities:

Manage and execute the end-to-end billing cycle for multiple firms, including drafting, reviewing, and finalizing invoices Collaborate closely with partners and client teams to ensure billing aligns with engagement letters, fee arrangements, and scope Monitor and drive WIP, project completion status, and staff time entries to ensure accurate and timely billing Maintain billing schedules and proactively follow up with internal teams for missing or incomplete billing details Ensure proper classification of billings (fixed fee, hourly, retainer, etc.) and manage adjustments, credits, or write-offs as needed Set up and maintain client billing profiles, including client-specific requirements and billing preferences Prepare and analyze billing reports to support month-end close, revenue tracking, and KPI reporting Assist with collections by coordinating with AR and leadership on outstanding balances and follow-up strategies Identify and implement process improvements to enhance efficiency and accuracy in the billing cycle Serve as a billing resource and advisor to our firm partners and operations teams

Qualifications:

3-5+ years of billing experience within a CPA firm or professional services environment (required) Strong understanding of time and billing systems, WIP management, and client invoicing practices Experience working with billing systems such as Practice CS, CCH Axcess, QuickBooks, or similar platforms Excellent attention to detail, organizational skills, and ability to manage multiple deadlines Strong communication skills, with the ability to interact professionally with partners and clients Proficient in Excel and comfortable working with reports and financial data

Preferred Qualifications:

Familiarity with tax and audit engagement workflows Experience supporting billing across multiple entities or office locations Prior experience helping standardize or streamline billing processes in a growing firm
