Summary
The Billing Specialist will handle all aspects of the invoicing process, including preparing and sending invoices, verifying work orders, and resolving discrepancies while providing excellent customer service to clients. The ideal candidate has experience in a service-based HVAC & Plumbing industry, excellent communication skills, and the ability to manage multiple tasks effectively.
Essential Duties
Prepare and Issue Invoices:
Accurately generate and issue invoices for completed HVAC/R and plumbing services, ensuring all necessary documentation (work orders, purchase orders, contracts) is verified.
Review Work Orders and Service Contracts:
Ensure work orders and service contracts are complete and align with the invoiced amounts, resolving any discrepancies in a timely manner
Coordinate with Technicians and service managers: Communicate regularly with service technicians and managers to ensure accurate work order completion, timely job closures, and correct billing.
Handle Clients Inquires:
Address and resolve client questions or concerns related to invoices, payments, and service details.
Track Payments and Collections:
Monitor accounts receivable, following up with clients on outstanding payments and sending reminders or statements as needed.
Assist with
Reporting:
Prepare regular reports on billing activities, outstanding balances, and other metrics for the accounting or management team.
Ensure Compliance:
Follow company procedures and policies to ensure billing compliance, including adherence to state and local tax regulations.
Assist with
Audits:
Provide support during internal and external financial audits, ensuring all billing documentation is accurate and available.
Accept and perform other work as assigned.
Qualifications, Skills, and Abilities

Familiarity with HVAC, plumbing, or construction service terminology.
Experience working with COINS, Spectrum, or other construction accounting software.
Strong understanding of invoicing and accounting practices.
Proficiency in Microsoft Excel for data management, analysis, and reporting.
Familiarity with billing software and accounting systems (e.g., Sage, COINS or other ERP systems).
Excellent attention to detail and organizational skills.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team in a fast-paced environment.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Experience and Education
2+ Years of recent HVAC & Plumbing billing experience. (Time and Materials)
COINS.ERP
experience preferred but not required.
Familiarity with HVAC, plumbing, or construction service terminology.
Experience with collections
Experience with Florida State Lien law
High school diploma or equivalent required
