We are a 29-attorney regional law firm with offices in Massachusetts, Rhode Island and New Hampshire, practicing in the area of civil litigation and insurance defense, with a focus on professional liability defense. This role involves assisting the Financial Administrator with client billing, cash receipts, and general financial support. This role also includes assisting the Firm Administrator with HR, benefits, and general office administration support.
Billing & Financial Support:
Assist with preparing and submitting electronic bills to clients utilizing multiple e-billing systems, including generating, reviewing, and processing pre-bills and invoices for accuracy. Assist with reconciling records, monitoring outstanding invoices, and processing appeals. Assist with preparing daily cash receipts. Provide backup assistance with the preparation of financial reports, including monthly and year-end reports, 1099 submissions, and annual tax compilation. Assist with following up on overdue accounts and managing collection efforts. Provide backup assistance for weekly accounts payable process.
Office Administration Support:
Assist with recruitment and onboarding efforts, including posting job openings, screening resumes, coordinating interviews and assisting with new hire orientation. Responsible for daily staff workload coverage. Responsible for employee PTO and timesheets program. Assist with all aspects of moving office locations and opening satellite offices. Oversee the purchase and maintenance of office supplies. Oversee and manage the MBTA pass program. Oversee daily facility issues, including maintenance issues, security access and compliance with building and office protocols. Assist with benefits administration.
Key Skills:
Experience in legal billing, including all aspects of e-billing, is preferred. Experience in general office administration, ideally within a law firm environment. Strong working knowledge of JURIS billing software (Juris Suite, Juris Core) is a plus. Strong working knowledge of Microsoft Outlook, Word, and Excel is preferred. Strong organizational skills with the ability to manage multiple tasks and deadlines with minimal supervision. Must have the ability to work well independently and as part of a team. Excellent communication and interpersonal skills. Strong Attention to detail and accuracy. Discretion and confidentiality in handling sensitive information. Problem-solving and analytical skills.
Qualifications:
Education:
Bachelor’s degree preferred.
Experience:
1-3 years of administrative experience within a professional law office setting is highly desirable.
