Description of Agency:

Family Services of Davidson County is a non-profit agency located in Lexington, NC providing counseling, crisis intervention, and youth development programs to strengthen individuals, families, and our community. We work from a team model and Trauma-Informed Care approach to provide optimal services to our clients and to promote a healthy workplace environment.

Primary Function:

Primary responsibilities include ensuring claims are submitted in a timely manner, working denials, entering into the Electronic Health Record explanation of benefits, calling patients for past due balances, and assessing billing needs.

Education/Experience:
  • Ability to read and interpret documents such as insurance documents
  • Previous customer service experience

Works under the direct supervision of the

Director of Operations Billing Responsibilities:
  • Resolves issues with insurance carriers by phone, online, or writing
  • Handles phone calls from patients regarding insurance issues and ensures patient satisfaction
  • Communicates unresolved and recurrent insurance processing problems with the Director of Operations
  • Attends scheduled meetings including supervision once a month with the director of operations
  • Posts Explanation of Benefits and Remittance Advice in a timely manner
  • Performs other duties as assigned
  • Works 5 hours per week.
Administrator Responsibilities:
  • Treat each client and contact of the agency with dignity and respect.
  • Conduct telephone and in-person intakes and schedule intake appointments. If appropriate, pull chart on intakes who are previous clients and place in assigned staff’s box.
  • Answer multi-line phone system with pleasant voice and pleasing personality and provide general information about agency’s programs, transfer calls to voice mail and shelter as appropriate, and take messages.
  • Greet clients as they come in the door and verifying the accuracy of client information in Insync (EMR System)
  • Assist clients in filling out appropriate paperwork and direct clients toward appropriate staff and services.
  • Collecting insurance information on the phone before scheduling appointments.
  • Inform staff of clients/visitor’s presence.
  • Perform (paper and computerized) check-in and check-out procedure with all clients.
  • Receive and keep accurate record of client payments and attendance, ensuring that paperwork is kept according to office procedure and FSDC policy.
  • Keep accurate and up-to-date schedules for clients and staff.
  • Ensure adequate copies of all needed forms are available.
  • Make copies and type for staff and board members, as needed.
  • Assist in preparing mailings (including bulk mail).
  • Make sure phones are in appropriate mode and office close up and opening procedures are followed.
  • Assist the Operations Director in carrying out the daily duties of the office and other work as requested.
  • Inform Supervisor of all issue or concerns that may occur.
  • Provide general back-up for other administrative work as needed.
  • Attend trainings as requested.
General:

1. Process all correspondence, time and travel and monthly reports as scheduled. 2. Represent FSDC in the community and assist in community awareness, fundraising and capital campaigns. 3. Promotes the Family Service philosophy in community meetings and events. 4. Report to Management Team as requested. 5. Performs additional responsibilities as assigned by the Operations Director & Executive Director.
