Position Summary:
The Billing Specialist will be responsible for preparing, reviewing, and submitting accurate project invoices in a timely manner. They will collaborate closely with Order Management, Project Managers (PMs), and General Contractors (GCs) to support billing processes and ensure compliance with project requirements. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and brings hands-on experience in billing, accounts receivable, or accounting, ideally within the construction industry.
Requirements:
High School Diploma or GED required; Associate or Bachelor’s degree preferred Minimum 5 years of experience in billing, accounts receivable, or accounting roles Construction billing and job costing experience highly preferred Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with Dynamics SL or other ERP systems is a plus Strong attention to detail, organizational skills, and problem-solving abilities Ability to handle multiple tasks, meet deadlines, and work independently Excellent written and verbal communication skills Calm and professional demeanor under pressure or in high-volume environments Ability to sit for extended periods, use standard office equipment, and occasionally walk or stand as needed
Responsibilities:
Prepare and maintain American Institute of Architects (AIA) and Schedule of Values (SOV) invoices. Process flexible project billing, including sales and service order invoices, in accordance with company policies and customer contracts Submit invoices on time and follow up on outstanding payments as needed Maintain records and provide documentation for internal and external audits Coordinate with Project Managers to determine percentage completion and ensure accurate billing applications Issue credit memos where necessary, ensuring proper documentation and approvals Reconcile billed projects to ensure accuracy and support project closeout Attend training sessions as required by management Comply with all safety procedures and company policies Avidex is an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or status as a protected veteran.
