Job Summary:
Managing Inbound and Outbound Requests/Calls:
Using excellent customer service to answer inbound calls from potential clients and respond according to the request. Utilizing knowledge of the products to instruct/direct the client on potential next steps. Answering any questions the clients may have and following up on inquiries in order of importance. Making outbound calls to follow up with the client when additional information is needed in order to process the order.
Performing office management duties:
Ensuring the front office runs smoothly by maintaining phone lines and taking order requests. Providing support to the sales team by owning the intake process for new orders that come or existing clients that need additional guidance.
Providing System Support:
Leveraging knowledge of different systems the company uses in order to advise team members when needed. Acting as a system administrator when issues arise by communicating with the appropriate parties to reach a resolution. Learning new systems, how they operate, and who to contact when the team runs into issues. Pulling weekly, bi-weekly, or monthly reports which help leadership track the shipping and receiving of orders. Updating internal receiving and shipping calendars based on information from the warehouse team.
Relationship Building:
Ensuring customer satisfaction through check in calls and status updates in a timely manner. Additionally, assisting team members(sales and warehouse) to process orders. Working with the sales representative to ensure the customer has everything they need to process the order smoothly and efficiently. Communicating with the warehouse staff as well as the sales team to coordinate delivery dates/times, confirm PO’s when needed, and convey updates to the customer when needed. Inputting customer orders into the internal system electronically as they are received.
Providing Billing Support :
Partner directly with the Finance Manager to assist with duties such as invoice processing, recordkeeping, answering billing inquiries as needed, and maintaining financial records and documents. Processing invoices once it has been prepared and verified for issuance to customers accordingly. Responding to customer inquiries regarding billing in a timely manner, following up on any financial discrepancies, and effectively communicating their payment status when needed. Working alongside the finance manager to ensure financial recordkeeping is accurate, organized, and contains all supporting documents/receipts. Required Skills/Experience At least 1-2 years of experience in a warehouse environment working in a support role. Ability to use critical thinking skills and effectively communicate with other depts and customers. Knowledge of basic accounting principles and computer literacy. Proven experience with Microsoft Office Suite and intermediate proficiency in excel. Strong attention to detail and organizational skills while providing financial and administrative support. Preferred Skills • Khameleon and other warehouse management systems experience is a plus.
