- Hybrid work Client Cost Invoice Clerk Job Description Summary and Objectives The Client Cost Invoice Clerk is responsible for preparing, reviewing, and processing client invoices related to legal services and expenses.
This role involves ensuring accurate billing for services rendered, including time entries, disbursements, and other client-related charges. The Clerk will work closely with attorneys, paralegals, and the finance team to ensure timely and accurate invoicing, as well as manage client billing inquiries.

Non-Exempt Responsibilities
- To review invoices for correctness including calculations, file numbers, description of services, Tax Id , W-9 form etc. ;
- To review insurance companies’ guidelines;
- To prepare check requests with the financial department;
- To prepare emails to the adjusters/carriers for payment;
- To follow- up with adjusters/carriers for status of payment via emails and telephone calls;
- To prepare letters with checks to vendors;
- To receive and make calls to vendors regarding status of payment;
- To maintain the Vendors’ W-9 form folder; In addition to core responsibilities, this role includes a variety of administrative and miscellaneous duties to support the overall efficiency of the team.
The individual may also provide ad hoc support to various departments, participate in team meetings and company events, and handle data entry or other general office tasks. Flexibility and a willingness to take on additional duties as assigned are essential to support evolving business needs and contribute to organizational success. Qualifications
- High school diploma or equivalent.
- Experience in invoice processing or accounts payable.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team.
