Full Job Description Position Summary:
The Group Billing Coordinator reports directly to the Accounts Receivable Manager and assists the Accounting team as needed. They will be responsible for group billing details with great accuracy in their work. They will perform general data entry and prepare invoices.
Pay Rate:
The rate of pay listed on job boards are auto-generated numbers. Kiawah Island Golf Resort’s actual rate of pay will be determined during the hiring process.
Qualifications:
Minimum Education – High school diploma, or equivalent vocational training certificate, required. College degree preferred. Minimum Experience – Previous accounting experience highly preferred. Ability to handle confidential information. Must work both independently and in a team environment. Good to Excellent verbal and written communication with an emphasis on accuracy and clarity required. Must be able to manage multiple projects and meet deadlines. Must be detail oriented, able to evaluate problems, and find solutions for all possible situations.
Agilysys / Versa
Experience highly preferred. Strong typing skills and proficiency with Microsoft Word, Excel, and Outlook are a must in this role. Must be able to pass a background check.
Expectations & Responsibilities:
Responsible for setting up group billing details and completing group bills in a timely manner after all group departures. Responsible for setting up master accounts and accurately routing post types per the resume distribution. Attend pre conference meetings and handle daily bill reviews as requested (some weekend work required).
Post event:
verify all charges have been posted correctly to the master account. Organize billing details and gather all ticket back up. Review sales contract(s) for allowances and prepare invoices accordingly. Send invoice(s) to Catering and Convention Services for review and make any necessary adjustments before sending to client. Responsible for Travel Agent inquires and Expedia guest processing. Maintain heavy communication with Sales, Conference Services, outlets and meeting planner’s pre and post event. Assist with guest billing phone calls as needed. Assist with group follow up for final payment. General data entry as needed. Upholds the core values and policies & procedures of the resort. All other duties as assigned.
Essential Physical Requirements:
Must be able to lift and carry up to 10 pounds across short-medium distance. Must be able to work in the office, at a desk, for entirety of shift. Must be able to enter computer data and sit for the majority of the day. Must be able to bend over / stoop as needed for various filing, and pulling invoices and tickets from files. Must be able to work on site due to daily needs of the job requirements.
