Job Description:

The Billing & Claims Coordinator will be responsible for handling paper and electronic claims processing, medical record verification, documentation management, and collaborating with both internal teams and external partners. The ideal candidate will have experience in medical billing – particularly in oncology – along with strong organizational skills and a thorough understanding of payer guidelines and healthcare compliance standards. Responsibilities Accurately print, prepare, and mail paper claims in a timely manner. Submit electronic claims (primary, secondary, and tertiary) in accordance with payer-specific requirements. Review and verify medical records and supporting documentation to ensure accurate claim submissions. Monitor billing and claims reports to validate claim accuracy prior to submission. Troubleshoot and resolve claim filing issues; escalate unresolved matters as appropriate. Sort, scan, and route incoming correspondence and priority claim-related documents. Prepare and distribute refund checks, explanation of benefits (EOBs), and refund letters with necessary supporting materials. Handle monthly processes for scanning, mailing, and indexing of claims, payments, and administrative documents. Maintain up-to-date patient account records and notes within the billing system. Collaborate with billing teams, healthcare providers, and insurance carriers to address discrepancies and ensure compliance with policies and regulations. Ensure adherence to HIPAA guidelines and organizational policies to safeguard patient confidentiality. Provide assistance with various administrative and billing projects as needed. Perform other duties as assigned to contribute to the organization’s mission of enhancing patient care. Qualifications High school diploma or equivalent required; associate or bachelor’s degree preferred. Previous experience in medical billing, healthcare administration, or claims processing strongly preferred. Solid understanding of medical billing practices, healthcare terminology, and insurance regulations, particularly within oncology services. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with electronic health record (EHR) systems and payer submission portals is a plus. Excellent organizational skills with sharp attention to detail and the ability to manage multiple tasks and deadlines. Strong verbal and written communication skills; ability to work both independently and collaboratively in a team setting.
