Description
Position Summary
InfoWorks is seeking a detail-oriented and dependable Billing Administrator to join our Operations team.
This role is responsible for supporting our financial operations by managing client invoicing, timesheet processing, and internal billing systems. The ideal candidate will have prior experience in billing for a professional services firm and will be comfortable working with MS Office tools, QuickBooks Desktop, and other software tools as needed.
This is a full-time role with a flexible in-office schedule and a strong emphasis on accuracy, organizational skills, timeliness, and collaboration. The Billing Administrator will report directly to the Controller and work closely with consultants, sales team, and leadership across the company.
How You’ll Make an Impact
- Generate accurate and timely client invoices in accordance with contract terms, varied client billing requirements, and company policies
- Review consultant time entries, client billable expense reports, and billing allocations for accuracy and completeness
- Track billing status of active contracts and follow up on outstanding items as needed
- Maintain and reconcile billing records in internal time/billing system and QuickBooks Desktop
- Assist in preparing reports related to client invoicing and accounts receivable
- Coordinate with consultants to ensure accurate time and client expense submissions
- Support the Controller with ad hoc billing and financial administrative tasks
- Provide process improvement recommendations to streamline billing operations
- Assist in the accounts payable process
Requirements
Requirements / Ideal Qualifications - Bachelor’s degree or equivalent experience preferred
- Billing experience in a professional services environment
- Proficiency with QuickBooks Desktop is preferred
- Proficiency with MS Office products, especially MS Excel
- Experience with additional internal billing or accounting systems is a plus
- Strong attention to detail and accuracy
- Ability to manage multiple tasks and deadlines with minimal supervision
- Strong communication and organizational skills
- Professional demeanor and ability to maintain confidentiality

Other Notes - This is a full-time position (30-40 hours/week) based in our Nashville office.
- A flexible schedule and occasional remote work may be available, depending on business needs.
- The total cash compensation range will be commensurate with experience and qualifications.
