Position Summary The Lab Data Entry Clerk plays a vital role in supporting laboratory operations by ensuring the accurate and timely entry of patient and specimen information into the Laboratory Information Management System (LIMS). This individual verifies data accuracy on screen, retrieves information as requested, and initiates the testing process by assigning unique accessioning numbers to incoming samples. The role demands a high level of attention to detail, data integrity, and confidentiality to maintain the accuracy and reliability of laboratory records. Scope The Lab Data Entry Clerk serves as a key administrative support within the laboratory environment, facilitating smooth information flow between departments. This position interacts with both internal lab personnel and external healthcare providers to ensure timely data processing. The role contributes to the overall efficiency of laboratory services by minimizing data errors and ensuring that information is properly documented and easily accessible for clinical and operational use. Job Responsibility Accurately input and maintain laboratory test orders and results from requisitions into the designated system, ensuring all required fields are complete and correct. Initiate outbound calls to clients for laboratory order verification , actively requesting and securing necessary supporting documentation to ensure data integrity. Conduct physician verification calls to confirm practitioner details and validate referring physician information for accurate record-keeping. Perform routine data quality assurance checks on all daily entries, promptly identifying and resolving discrepancies, and meticulously maintaining both electronic and physical records. Create and update patient demographic records with precision, including but not limited to full name, date of birth, gender, room number, social security number, comprehensive insurance details, current address, and primary contact information. Enter and update physician profiles within the system, ensuring all provider information is current and accurate. Generate online orders for various services or products as required, ensuring proper categorization and routing. Execute daily tracking of phlebotomy blood samples for processing, monitoring their progress and ensuring timely submission to the laboratory. Maintain daily tracking of unidentified or unspecified physician orders , proactively working to resolve discrepancies and assign appropriate providers. Conduct thorough audits of requisitions to confirm the accuracy and completeness of patient demographics, laboratory orders, diagnostic codes, and physician information. Utilize and monitor the Data Miner system to track routine facility submissions, verifying arrivals against facility lists to ensure all expected data has been received. Provide cross-functional support to the processing department as needed, contributing to efficient workflow and operational continuity. Review and manage the pending list to ensure all incidents requiring redraws or further action are promptly reported to the customer service department for resolution. Offer direct assistance to the customer service team by handling inquiries and providing accurate information as required, contributing to positive client experiences. Key Requirements Prepare and organize source documents for data entry, ensuring all information is readily available and logically arranged. Compile, verify accuracy, and sort data according to priorities to prepare it for computer entry. Review data for deficiencies or errors , correcting any incompatibilities and checking output. Generate reports as needed, including summaries of entered data or tracking information. Maintain strict confidentiality of all sensitive patient, client, and company information. Adhere to all company policies and procedures regarding data entry, data security, and privacy regulations (e.g., HIPAA). Operate office equipment such as scanners, printers, and copiers, as necessary for data management. Communicate effectively with internal departments and external clients to resolve data-related issues. Assist in the development and implementation of new data entry procedures to improve efficiency and accuracy. Back up data regularly to prevent data loss. Maintain good attendance and punctuality; perform other related duties as assigned. Demonstrate flexibility by being cross trained in various lab functions. Exhibit a team-player attitude and the ability to work effectively in a fast-paced environment .

Qualifications Educational Background:

High school diploma or equivalent required; Associate degree in a related field (e.g., Medical Laboratory Technology) or relevant certification preferred.

Experience:

Minimum 1 year of experience in a data entry or administrative role.

Language Requirement:

Bilingual (English and Spanish) preferred.

Proficient :

Microsoft Office (Word, Excel, Outlook)

Physical Requirements:

Ability to lift up to 25 lbs and stand for extended periods during the shift. Ability to maintain confidentiality and adhere to regulatory standards.
