This position of Administration Assistant/DATA Entry will work as part of a treatment team, providing necessary clerical services for outpatient clinical personnel, data entry, as well as, performing receptionist duties and assisting in the general operations of the Outpatient facility. Maintaining a positive attitude at work is essential in this position. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Monday through

9:00-5:00 Responsibilities and Duties

  • Receive incoming telephone calls, record messages and greet visitors and clients in accordance with agency procedures.
  • Facilitate the intake process on Assessment clients by collecting all proof of income sources in order to complete the financial agreement for the client, establish fee base for appropriate program and making sure all required documents are fully signed, dated and witnessed prior to the actual assessment appointment.
  • Responsible for verifying Medicaid Eligibility and TANF Eligibility.
  • Complete pre authorization of insurance. Collect, prepare and submit insurance billing. Complete data entry for billing and payroll purposes.
  • Ensure that all incoming and outgoing mail is processed appropriately.
  • Schedule/reschedule/cancel appointments, communicating the same to appropriate staff in accordance with agency’s policies and procedures, and maintain the Office appointment book accordingly.
  • Ensure new client assessment charts are prepared with latest forms prior to any and all scheduled assessments. Maintain “Master Copy Forms” for all documents pertaining to the Outpatient Chart, and Employee forms, ensuring that all forms are the latest, in ample supply, and readily available.
  • Generate client invoices and finalize same, including collecting fees.
  • Activate “new client chart”, and when client is discharged, distribute appropriate discharge forms and close the client chart in accordance with agency policies.
  • Complete order forms for all Outpatient office supplies on an “as needed” basis, submit same for approval and forward to administration for submittal to vendors(s).

Company provides the employee with 85 -90% of the employee’s health insurance and 100% of a $20,000.00 Life Insurance Policy. After 1 year employee enrolls in Pension & Profit-Sharing Plan where company contributes percentage of employee’s salary each year. Dental and Vision available at a group rate.
