Overview :
We have partnered with a nonprofit organization focused on supporting trauma-impacted populations through social emotional learning programs. We are hiring an Operations Specialist to support the daily operations of our team. This position handles customer support, order fulfillment, financial tracking, and general office management. The ideal candidate is organized, reliable, and comfortable working both independently and as part of a small team!
Schedule:
Full-Time Hybrid:
3 days office / 9-5pm: Flexible days & hours
Responsibilities:
Order Processing & Fulfillment Process customer orders accurately and on time Coordinate with vendors and internal staff to resolve order issues Monitor inventory and manage relationships with fulfillment partners Financial & Administrative Support Create and track invoices and payments Record donations and prepare related documentation Handle deposits, staff expense reports, and monthly sales reports Assist with financial reporting and data entry Office & General Operations Respond to phone and email inquiries Sort and log incoming mail Maintain office supplies and equipment Keep internal documentation up to date Proficient in data entry with a strong typing speed and accuracy. Familiarity with office software applications (e.g., Microsoft Office Suite). Experience with database management is preferred. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent attention to detail and commitment to quality work. Basic math skills for data verification and calculations. Previous experience in clerical or administrative roles is a plus.
Qualifications:
Bachelor’s degree or equivalent work experience in a related field 2+ years of experience in operations, order processing, customer service, or administrative support Strong organizational, problem-solving, and analytical skills Familiarity with operational workflows and administrative procedures Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace Comfortable learning new systems/ e-commerce tools (e.g., WooCommerce) is preferred Passion for non-profits!
