Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. This is a highly responsible and professional position that will serve as a Clerk Specialist assigned to Medical Records. This position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.
Specific Duties and Responsibilities include:
Responsible for filing and thinning of all master records and designated filing /thinning of ward charts daily, ensuring they are filed in accordance with filing guidelines. Creating new volumes as necessary.
Responsible for establishing a ward chart for each new resident assigned to unit in accordance with hospital policies and guidelines. Interviews the resident in order to obtain information needed to complete the Staff Admission Note and enter this into the hospital database.
Responsible for maintaining a supply of medical record forms in Medical Records for each ward.
Other related duties as requested or assigned.
Knowledge, Skills and Abilities required for the position:
Knowledge of correct grammar usage.
Knowledge of basic arithmetic.
Ability to organize files, records and/or other materials.
Ability to follow instructions.
Ability to communicate effectively.
Ability to perform basic arithmetical calculations.
Ability to establish and maintain effective working relationships with others.
Ability to sort data alphabetically, numerically and categorically.
Minimum Qualifications:
One year of secretarial or clerical work experience.
Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.
A high school diploma or its equivalent can substitute for the required work experience.
