GrantWorks is seeking a seasoned professional to support our growing Florida CDBG-Disaster Recovery practice. As an On-Site Housing Intake Specialist, you will meet directly with residents impacted by disaster to assist them in applying for housing assistance. This includes assistance with completing the program application, gathering eligibility documentation, and navigating the intake process. As the On-Site Housing Intake Specialist, you are the first point of contact for applicants and a critical member of a team working to help communities rebuild after a disaster.

Responsibilities:
  • Serve as the primary in-person point of contact for applicants seeking CDBG-DR housing assistance at designated intake site(s).
  • Support applicants through the program intake process, providing clear instructions on documentation and eligibility criteria. Assistance may be provided in-person, on the phone, or online.
  • Help applicants’ complete application forms and verify the accuracy of submitted information.
  • Collect and review required documentation, including proof of identity, income, ownership, insurance, occupancy, and disaster impact.
  • Scan, upload, and organize applicant files in compliance with HUD and program-specific requirements.
  • Conduct initial eligibility screenings using checklists or program software tools.
  • Clearly explain program guidelines, timelines, next steps, and document requirements to applicants in a respectful and empathetic manner.
  • Follow up with applicants on missing or incomplete items to keep files moving toward approval.
  • Coordinate with eligibility reviewers, case managers, and technical staff to support timely file advancement.
  • Participate in intake events, mobile outreach days, or special initiatives as needed to increase applicant access.
  • Maintain confidentiality and professionalism while handling sensitive applicant information.
Preferred Skills/Experience:
  • 4+ years’ experience working on HUD-funded programs, especially CDBG-DR housing assistance, disaster recovery, or affordable housing initiatives.
  • Knowledge of eligibility documentation requirements, including income verification, ownership, insurance, and occupancy.
  • Familiarity with case management systems, document intake workflows, or grant compliance tracking tools.
  • Prior experience conducting in-person applicant intake or customer service, particularly with vulnerable or disaster-impacted populations.
  • Ability to communicate effectively with individuals with limited English proficiency is preferred to help ensure equitable access and compliance with federal LEP guidance.
  • Associate or bachelor’s degree in public administration, social services, emergency management, or a related field.
Minimum Qualifications:
  • High school diploma or equivalent required.
  • 2+ years of experience in customer service, housing programs, social services, or administrative support, preferably in a government or nonprofit setting.
  • Excellent interpersonal and communication skills.
  • Strong attention to detail and organizational skills to manage sensitive documentation and ensure compliance with program requirements is needed.
  • Proficiency with basic computer applications (Microsoft Word, Excel, email platforms, scanning tools); ability to learn new systems quickly.
