Full-time (40 hours/week) Monday-Friday between 8:00am and 5:00pm

Program Skills/Knowledge Required:

High school diploma required. Bachelor’s Degree from an accredited institution of higher education preferred. Work Environment:

This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers and fax machines.

Physical Demands:

This is a hybrid role that will require sitting, standing and intermittent physical activity. Ability to lift up to 25 lbs and sit/stand/walk for extended periods of time with or without reasonable accommodations.

Travel:

Travel to and from clubs is required. Some domestic travel required to attend training, conferences and other club related events.

PRIMARY FUNCTIONS

The Executive Assistant is responsible for managing the schedules and communications of the Chief Executive Officer. Primary duties include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements. The Executive Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of policies and procedures. This will be a hybrid Administrative/Operations role with 50% of time spent in the administrative offices supporting the CEO and the other 50% spent in the Clubs leading various programs and initiatives.

KEY ROLES

(Essential Job Responsibilities): Executive Assistant Support 1. Manage CEO calendar to help prioritize tasks and deliverables. 2. Help prioritize communications and respond as needed on behalf of CEO. 3. Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEO’s behalf 4. Maintaining comprehensive and accurate records 5. Performing minor accounting duties 6. Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary Executive and Board Support 7. Prepares correspondence and reports as requested by Club executives and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature. 8. Makes logistical and travel arrangements for out-of-town meetings and events. 9. Coordinates logistics and materials for Board meetings. Prepares meeting agendas and minutes and provides support to Board Members, as required. Operational/Programmatic Support 10. Supports Director of Operations and Director of Programs in developing and implementing various programs within clubs, spending 15-20 hours each week in the clubs Supervisory Responsibility This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the organization.

Maintains close, daily contact with BGCSA professional staff

External:

Maintains contact with Board volunteers, community contacts, vendors, BGCSA members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.
