This position supports Vice President and Director level executives. You would be responsible for the day-to-day workings of the leaders you support, and your support is critical to ensuring your leaders’ success. There will be heavy calendar jockeying and coordination, expense and labor reports, travel planning, preparing presentations for team meetings, coordinating team events and office facilities management. Attention to detail in a fast-paced environment while managing shifting priorities make you an ideal candidate for this role. The relationship you form with the executives you support is critical because that is what enables you to become a true partner. As the “face” of your executives within The Walt Disney Company, your integrity, dedication, handling of confidential information and attitude reflect the office, and as such, are a critical component to its success. You will report to the Vice President, Retail Sales & Marketing. This is a full-time salaried nonexempt role based in Bentonville, AR. There is no relocation package associated with this position. On any given day, you might: Manage daily schedules, calendars, and meetings for Vice Presidents/Directors Manage all travel arrangements and trip oversight including meeting coordination, and all related expense management and processing Coordinate/confirm all calendar matters, including internal/external meetings, and video conferences over multiple time zones Assist with departmental tasks, including conference room requests, team events, employee recognition and offsites Manage and prepare documents including meeting agendas, presentation material and recap meeting notes Maintain standards of strict confidentiality with respect to all matters and documents Interact with various internal departments, senior executives and their offices as needed, as well as team members, external organizations, retailers, licensees and others globally Liaison with critical support functions across the enterprise including IT, Travel, Procurement, Corporate Real Estate, Concur and Workday Oversee physical office management of Bentonville office including facility maintenance and upkeep, ordering supplies, including hardware and software, AV maintenance, mail and packaging deliveries liaison with 3rd party vendors including building management, printer servicing, AV maintenance, utilities maintenance and storage facility. Promote teamwork both internally and externally, work exceptionally well with executives, staff, and external associates and visitors at all levels Assist with special projects as needed Perform other administrative duties as requested, or as responsibilities dictate You will have: Minimum of 5 years of executive support experience Excellent computer proficiency, including Microsoft Outlook, Word, Excel Demonstrated ability to prioritize, meet deadlines, make decisions, and change course of action quickly Extremely comfortable working in fast-paced environments Detail oriented with the ability to maintain professionalism under pressure Ability to anticipate needs, and be proactive, resourceful and flexible Strong people skills, including the ability to work effectively with other executives, assistants, and staff at all levels Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously Effective communicator, both verbally and written Proactive in thinking of ways to improve productivity and efficiency Experience working with international territories and global time zones
Preferred Qualifications:
SAP experience, including Casual Buyer Experience working in a commercial product environment Experience supporting teams in multiple locations
Education:
Bachelor’s degree or equivalent experience
