Executive & Personal Assistant pperdue@mosquitojoe.com Madison, CT 06443 Job Summary We are the owners of two growing, family-run businesses based in Madison, CT, and we’re looking for a highly organized, proactive, and trustworthy assistant to help manage day-to-day operations across both professional and personal tasks. The ideal candidate will be adept at answering phones, talking to clients on both businessses, managing schedules, handling administrative tasks, and ensuring smooth day-to-day operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. From scheduling and client communication to coordinating errands and special tasks, your role will be to bring clarity, organization, and follow-through to our fast-moving world. Duties Answer and direct incoming calls professionally and warmly Manage calendars, appointments, and scheduling for both businesses Communicate with clients, vendors, and team members on our behalf Coordinate reservations, travel, purchases, returns, and occasional errands Source and order thoughtful client gifts or event supplies Keep track of priorities and help ensure nothing falls through the cracks Support with general administrative duties and light project management as needed Manage and maintain executives’ calendars, including scheduling appointments and coordinating meetings Perform clerical tasks such as filing documents, data entry, and maintaining organized records Utilize Outlook Calendar for scheduling and reminders to ensure timely follow-ups Provide exceptional customer service by responding to inquiries and managing communications effectively Prepare reports and presentations as needed, ensuring all materials are accurate and professionally formatted Handle travel arrangements, including booking flights, accommodations, and transportation Qualifications Exceptionally organized and detail-oriented A strong communicator—clear, courteous, and confident Comfortable with technology (email, calendars, task management tools, etc.) Trustworthy and discreet, especially when handling sensitive information Adaptable, resourceful, and able to anticipate needs before they’re spoken Professional, friendly, and comfortable representing our businesses in communication Experienced in administrative, customer service, or support roles (preferred but not required) Strong clerical skills with proficiency in data entry and document management. Familiarity with calendar management tools, particularly Outlook Calendar. Proficient in Microsoft Office. Excellent organizational skills with the ability to prioritize tasks effectively. Strong verbal and written communication skills to interact professionally with clients and team members. A proactive attitude with a willingness to learn and adapt in a dynamic work environment.
