Non-Exempt Description The primary functions of this position are to answer incoming calls and performs a wide variety of complex, highly responsible duties of an administrative nature for the administrator(s). Participates in the work of the administrator(s) such as interviewing office visitors, securing details of specialized information and providing information regarding the services or operations of the department.
Process routine matters within established systems and policies.
Completes special projects and technical assignments as delegated by supervisor(s).
Researches and assembles information on various issues for supervisor’s use.
Prepares materials, records minutes, and transcribes minutes for all departmental meetings.
Performs travel arrangements.
Maintains detailed statistical records of departments to which assigned.
Assists in the preparation and maintenance of departmental budgets.
Provides liaison with other departments.
Creates and processes purchase orders/requisitions and quotes for materials, equipment and office supplies for the department administrator(s) and staff.
Organizes and maintains files related to the upkeep and maintenance of all subject matter pertaining to the respective office.
Files letters, reports, and documents of highly confidential information in a prescribed manner.
Maintains and electronic calendar of appointments, meetings and events for the supervisor(s).
Advises supervisor(s) of important meetings.
Creates PDF forms and Excel spreadsheets.
Refers callers to other employees, officials or departments as needed.
Secures meeting rooms for meetings and events.
Performs other duties as assigned.
Typical Qualifications
High school diploma or equivalent.
Three years of responsible experience in work involving statistics, accounting or office administration.
Experience with budgeting.
