Position Overview:
We’re looking for a highly organized and proactive Administrative Assistant / Bookkeeper to join our team. This hybrid role combines day-to-day administrative support with hands-on bookkeeping duties. The ideal candidate is resourceful, detail-oriented, and comfortable wearing multiple hats in a fast-paced, startup-style environment. Key Responsibilities Executive Support Manage and maintain executives’ schedules, including appointments, meetings, and travel itineraries Act as a liaison between executive leadership and internal/external stakeholders Prepare and edit correspondence, reports, presentations, and other documents Handle confidential information with discretion and professionalism Coordinate and organize company meetings, team events, and offsite engagements Administrative Operations Maintain organized digital and physical filing systems Manage office supplies and coordinate facility-related needs Support HR and onboarding processes (e.g., new hire paperwork, scheduling interviews) Assist in maintaining vendor relationships and tracking contracts or service agreements Bookkeeping & Finance Perform basic bookkeeping duties including accounts payable and receivable, invoicing, and bank reconciliations Track company expenses, generate monthly financial reports, and assist with budgetingProcess employee reimbursements and credit card reconciliations Work with external accountants or finance teams to ensure accurate financial records
Qualifications:
2+ years experience in administrative support and bookkeeping Strong proficiency in Google Workspace and Quickbooks Online Exceptional organizational skills and attention to detail Self-starter with strong communication and multitasking abilities Experience in a startup or creative environment is a plus Bachelor’s degree or relevant certification preferred
