Full Job Description Position Overview:

We are seeking a highly organized, detail-oriented Executive/Personal Assistant & Business Manager to provide comprehensive support across both personal and business matters. This is a hands-on, full-time, hybrid office position that requires strong project management skills, excellent communication abilities, and proficiency in Excel (including pivot tables), and ability to run financial analyses. Some travel to business and property locations will be required.

Key Responsibilities:
Personal Responsibilities Property Management:

Oversee the management, maintenance, and upkeep of multiple personal properties. Coordinate and supervise property projects, renovations, and repairs. Manage relationships with contractors, vendors, and service providers; ensure work is completed on time, within budget, and to expected standards. Handle property-related budgets, invoices, and expense tracking. Conduct regular site visits to properties to ensure quality control and resolve any issues proactively.

General items:

Manage the executive’s personal calendar, appointments, and reminders. Coordinate personal travel arrangements, including flights, accommodations, and transportation. Oversee household management, including coordinating vendors, maintenance, and service providers. Track personal expenses, reconcile receipts, and assist with household budgeting and bill payments. Plan and organize personal events, social gatherings, and family activities. Maintain confidential personal records, including medical appointments, insurance information, and legal documents. Research and source products, services, and gifts as needed. Manage special personal projects (e.g., renovations, relocations, vehicle management). Arrange and manage appointments for health, wellness, and personal care services.

Business Responsibilities:

Support the executive in overseeing multiple business ventures across diverse industries. Serve as a point of contact for business line managers, assisting with communications, project updates, and operational support. Review, organize, and track business initiatives, timelines, and deliverables. Prepare reports, track KPIs, and assist in analyzing business performance. Help manage business schedules, meeting coordination, and follow-ups. Maintain and organize important business documents, agreements, and files.

Skills and Requirements:

5+ years of relevant experience in executive support, property management, business operations, or a similar role. Strong proficiency in Microsoft Excel, including the ability to create and manipulate pivot tables effectively. Exceptional project management, organizational, and time management skills. Excellent written and verbal communication abilities. Ability to manage multiple priorities and work under deadlines. High degree of professionalism, discretion, and confidentiality. Ability to travel to various business and property locations as needed (local/regional travel). Bachelor’s degree preferred but not required.

Plantation, Florida (In-Office 3 days a week required, rest can be from home)

Schedule:

Full-time, Monday-Friday, with flexibility as needed for projects and travel.

Travel:

Occasional, based on project and property needs.
