Job Profile Summary The Senior Executive Assistant reports to the Vice President of Human Resources, Talent and Culture. This position requires a mission-driven, value-based individual who strives to excel in their craft. The Senior Executive Assistant plays an essential role in the department’s success, providing comprehensive administrative, organizational, and operational support under limited supervision. As part of the Talent and Culture team, the Senior Executive Assistant is expected to contribute to fostering an employee-first culture while consistently delivering exceptional service to internal and external stakeholders.

Essential Functions:

Manage the department’s purchase orders and Pcard transactions, ensuring timely and accurate financial processing. Assist with coordinating employee engagement events, working closely with various stakeholders to ensure smooth execution. Assist the department with preparing contracts for the contract management system, ensuring all documentation is accurate and processed timely. Provide administrative support to the Vice President, including creating meeting minutes, preparing recaps with follow-up actions, and managing other administrative tasks such as calendar management, and travel expense reimbursements. Train and coordinate work for part-time office support staff, student employees, and temporary staff, requiring strong office management skills. Design and develop compelling presentations using Microsoft PowerPoint and other presentation software. Demonstrate strong proficiency in Microsoft Excel, including preparing, navigating, and maintaining complex spreadsheets for tracking and reporting purposes. Serve as a primary point of contact for departmental inquiries and manage office operations to ensure efficiency.

Minimum Education:

Associate degree required. Bachelor’s degree strongly preferred. An equivalent combination of education and experience may be considered.

Minimum Experience/Training:

Seven years of general administrative support, office, or related experience required. Three years must be at the executive/office management level.
