ROC Venture Group is a dynamic and fast-growing venture capital firm based in Naples, FL. Since our inception in 2021, we have conducted transactions across 22 portfolio companies, which include both seeding and incubating several early-stage companies, and investing in later stage pre-IPO companies.

Job Summary:

Transactions require a lot of internal touch-points and coordination across our back-office and leadership team, while also commanding significant scheduling needs externally with various stakeholders. We are seeking a highly organized and proactive Executive Assistant to support our leadership team through the fast paced and high intensity environment we are working in. The Executive Assistant will play a critical role in ensuring the smooth operation of our firm by providing comprehensive administrative support to our partners. The ideal candidate will be detail-oriented, highly professional, and capable of handling multiple priorities in a fast-paced environment. This hybrid position requires candidates to be based in Naples, FL, or willing to relocate, with the expectation of meeting in-person multiple times per week. The Executive Assistant will also be expected to help with tasks outside of the office that will increase the bandwidth of the Partner from time to time.

Key Responsibilities:
Calendar Management:

Coordinate and maintain complex schedules for partners, including meetings, calls, and events.

Travel Arrangements:

Plan and book domestic and international travel, including flights, accommodations, and itineraries.

Meeting Preparation:

Prepare agendas, materials, and follow-ups for meetings with clients, investors, and internal teams.

Document Management:

Organize, review, and maintain important documents, including contracts, NDAs, and reports.

Correspondence:

Handle email and phone communications with investors, ensuring timely responses and professional interactions.

Event Coordination:

Assist in planning and executing events, such as investor meetings, conferences, and team retreats.

Ad Hoc Projects:

Provide support for special projects, research, and other tasks as needed.

Qualifications:

Proven experience as either an Executive Assistant or Paralegal, or in a similar role, preferably in a professional services or investment firm. Exceptional organizational and time management skills with the ability to prioritize tasks effectively. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling tools (e.g., Google Calendar). Ability to handle sensitive information with discretion and maintain confidentiality. Self-motivated, proactive, and adaptable to a fast-paced environment.
