If you thrive in a fast-paced environment, we want to hear from you! We are seeking for an Executive Assistant to join our busy company in equipment sales & service. As the Executive Assistant, you will support the sales department and key executives with operations tasks. You will be tasked with a variety of administrative duties, including creating schedules, coordinating meeting times, and improving office efficiencies. You will assist in SOP development and implementation with team-members. The ideal candidate will have a proven track record of administrative support experience, strong organizational and communication skills, and the ability to provide excellent management skills with employees. Responsibilities Serve as the main point of contact for Directors and President of company Project management and working with timelines, scheduling with several freelance contractors (graphic design, marketing, web development, etc) Manage office duties such as organizing filing systems, facilitating expense reports, and ordering office supplies Execute the procedures and HR policies for our team of appx. 20 employees. Oversee executive schedules, including travel arrangements, itineraries, and team meetings Organize and manage ongoing projects with marketing, business development, team building and training Compile and document incoming messages, phone calls, voicemails, follow-up requests, memos, and emails and report them to the office manager Assist group execs by assisting with meeting preparation and transcribing meeting minutes Execute other administrative duties as assigned by executives, arranging personal appointments, and more Qualifications High school diploma or GED equivalent is required five or more years of experience working as an administrative assistant, executive assistant, or in a position performing office manager duties Possess a valid driver’s license and pass a background check Comfortable meeting deadlines and handling confidential information Proficient with Google suite/Microsoft Office, including Word, Excel, and PowerPoint Strong organizational skills, interpersonal skills, and verbal communication skills Flexible work from home options available.
