Executive/Personal Assistant Greg Orick Marine Construction Naples, FL 34104

Position Overview:

We are seeking a highly organized, proactive, and resourceful Personal Assistant to support C-suite executives. This position is critical in ensuring their executive can operate effectively and efficiently by managing day-to-day activities, providing administrative support, and serving as a trusted liaison for internal and external stakeholders.

Key Responsibilities:
Administrative Support:

Manage and maintain calendar, schedule meetings, appointments, and travel arrangements. Organize and prepare for meetings, including gathering documents and attending to logistics. Draft, review, and manage correspondence, reports, and presentations. Act as a gatekeeper by screening calls, visitors, and meeting requests.

Operational Efficiency:

Handle confidential information with discretion and maintain files and records. Coordinate and oversee special projects and initiatives as directed. Ensure timely follow-up on action items, deliverables, and deadlines.

Communication and Liaison:

Serve as the primary point of contact between staff, clients, vendors, and partners. Facilitate communication within the organization and with external parties to maintain seamless operations.

Travel and Event Management:

Arrange travel itineraries, accommodations, and transportation and, occasionally, other team members. Plan and coordinate company events, meetings, and team-building activities.

Problem-Solving and Decision-Making:

Anticipate needs and proactively address potential challenges. Provide insight and recommendations for operational improvements. Support for

Personal Obligations:

Assist with personal errands, tasks, and property management, as needed. Run social media, take project photography, and keep up with social media trends.

Qualifications:
Education:

Bachelor’s degree in Business Administration, Communications, or a related field is

Skills and Competencies:

Exceptional organizational and time-management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong problem-solving skills and the ability to make sound decisions. High level of discretion, integrity, and professionalism. Ability to work independently and under pressure in a fast-paced environment.

Work Environment:
