Job Description

Executive Administrative Assistant City of Arcadia, FL 23 North Polk Avenue, Arcadia, FL 34266 Job Summary Provides complex and specialized administrative support to the City Administrator. Employees in this classification function at expert level and are accountable for accuracy of both routine and non-routine administrative support duties. Employees in this position are to exercise independent judgment concerning assigned duties and are to function independently.

MINIMUM QUALIFICATIONS

High School Diploma or equivalent; knowledge of administrative and clerical procedures and office equipment; proper English usage, spelling, punctuation and grammar; must have the skills and abilities to interpret information to co-workers and the general public. Will have a minimum of five (5) years progressively responsible experience and/or training in administrative/secretarial support functions; or an equivalent combination of education, training, and experience.

ESSENTIAL FUNCTIONS

The essential functions, as outlined herein, are intended to be representative of the tasks performed within this classification. The omission of an essential function does not preclude management from assigning duties not listed if such duties are a logical assignment to the position. ■ Receives telephone inquiries and resolves them personally or directs to the appropriate individual or department. ■ Performs a variety of highly complex and specialized administrative support functions, analyzing data, typing, report processing, documentation verification. ■ Performs a variety of critical and confidential recordkeeping duties, and manages recordkeeping and filing systems for relevant materials. ■ Generates complex and specialized correspondence, memos, orders, reports, and other materials . ■ Completes and processes various forms required of the office. ■ Receives mail and processes according to City procedures, directing to appropriate individual or department. ■ Schedules in-person and/or video meetings when required by Administrator. ■ Maintains supply closet for Administration personnel and orders supplies as needed. ■ Assists Finance Department in reconciling bi-weekly payroll; prepares invoices for payment by coding with appropriate accounts. ■ Coordinates travel needs for City Council members and City Administrators as needed. ■ Complies, prepares, and may be responsible for distributing various special reports, notices, and other relevant materials. ■ Performs related duties as directed when such duties are logical and appropriate.

KEY COMPETENCIES

■ Excellent verbal and written communication skills. Skill in business English, correspondence formats, spelling, punctuation, and grammar. ■ Ability to utilize personal computers, standard office equipment and standard software applications. ■ Ability to plan, organize, and coordinate schedules and meetings. ■ Skill in establishing and maintaining effective records maintenance and file management systems; ability to read, update, and maintain various records and files. ■ Considerable knowledge of state and local rules, regulations, ordinances, and other regulatory standards applicable to the work. ■ Skill in establishing and maintaining effective working relationships and communications with co-workers, management, and the public. ■ Professional personal presentation; representing the City in an ethical and professional manner.

PHYSICAL REQUIREMENTS

Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weights (up to 30 pounds). Tasks may involve extended periods of time at a keyboard of workstation. Employee is regularly required to stand, walk, use hands and fingers, and reach with hands and arms. Some tasks require visual abilities. Some tasks require oral communications ability.
