Full Job Description Duties and Responsibilities:
Provide administrative support for President and COO Florida Rock and Tank Lines. Typical daily tasks such as incoming and outgoing correspondence and phone calls, filing, copying, travel arrangements (executive team), scheduling appointments and meetings, and travel and entertainment reports. Act and work in a professional manner; respond in a timely and efficient manner to questions, e-mails and issues as requested, while maintaining the highest level of confidentiality. Organize corporate events to take place outside the workplace including golf outings, management meetings, and customer events. Energetic, detail-oriented, an organizer and a planner. Work under deadlines and pressure must be flexible and multi-task. Create and maintain financial records and spreadsheets as needed. Assist in planning and scheduling of the Annual Meeting. Answer incoming telephone calls, interact with high-level personnel. Prepare presentations for high-level business meetings, and work on special projects as assigned. Complete routine and other assigned projects accurately and on-time.
Knowledge and Skills :
Requires strong organizational, time management and analytical skills. Excellent written & oral communication is necessary. Strong MS Office skills (Outlook, Word, Excel, PowerPoint, Publisher, Access)- specifically Excel and preparing financial reports, WordPerfect, PageMaker, Quark Xpress, Photoshop, Illustrator, Dreamweaver, Flash MX, Visio, Corel Paintshop Pro. PC and Mac proficiency. Must be able to take initiative, make independent judgments, demonstrate an ability to work with minimal supervision and keep a high degree of confidentiality. Must have effective follow through skills, ability to handle unforeseen developments and prioritize changes effectively.
Education and Work Experience :
Minimum two-year degrees Minimum 5 years’ previous experience with senior level executives
