Full Job Description Job Summary:

UF Health Proton Therapy Institute is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to assigned UF Faculty and Executive Leadership. The ideal candidate will play a pivotal role in ensuring the smooth operation of executive functions by managing a wide range of administrative tasks and projects. This position requires exceptional organizational skills, a keen eye for detail, and the ability to handle multiple priorities with efficiency and professionalism.

Key Responsibilities:
Meeting Coordination:

Schedule, organize, and facilitate meetings, including preparing agendas, coordinating logistics, and ensuring timely follow-up on action items.

Project Development and Implementation:

Assist in the planning, execution, and monitoring of various projects, ensuring alignment with organizational goals and timelines.

Calendar Management:

Maintain and update executive schedules, prioritizing appointments and engagements to optimize time management.

Administrative Support:

Perform a variety of support services, such as drafting correspondence, managing communications, and handling confidential information with discretion.

Liaison Role:

Serve as an administrative liaison between internal departments and external stakeholders, addressing and resolving administrative issues to support Faculty and Executive Leadership effectively.

Documentation and Reporting:

Prepare and manage documentation, reports, and presentations, ensuring accuracy and completeness.

Event Planning:

Coordinate and manage events, including conferences, workshops, and seminars, ensuring all logistical aspects are handled efficiently.

Travel Arrangements:

Organize and manage travel plans, including booking flights, accommodations, and transportation, while adhering to budgetary constraints.

Qualifications:
Education:

Bachelor’s degree in Health Management, Business Administration or a related field preferred.

Experience:

Minimum of 2 years of experience in an executive assistant or similar role, preferably within a healthcare or academic setting.

Skills:

Strong organizational, communication, and interpersonal skills; proficiency in Microsoft Office Suite and other relevant software; ability to handle sensitive information with confidentiality.
