We are seeking a highly organized and proactive Personal Assistant to support our executive in both personal and business matters. The ideal candidate will be adept at managing schedules, arranging travel, and handling various administrative tasks with efficiency and discretion. This role requires the ability to thrive in a fast-paced and dynamic environment.
Key Responsibilities:
Personal Errands:
Run personal and company errands.
Scheduling:
Manage both personal and business calendars, including daily and weekly calendar management, scheduling appointments, meetings, and events.
Quotes:
Obtain quotes for services and products as required.
Reminders:
Provide reminders for appointments, important dates, and deadlines.
Travel Arrangements:
Coordinate travel plans, including booking flights, accommodations, and transportation.
Email Management:
Screen emails, manage inbox, follow up on important communications, and respond as necessary.
Meeting Minutes:
Record and distribute meeting minutes.
Supply Orders:
Order office and personal supplies as needed.
Digital File Organization:
Organize and maintain digital files.
Pick-Up Items:
Pick up items from the printer and other locations as needed.
Car Maintenance:
Ensure the executive’s car is cleaned and maintained.
Appointment Setting:
Set and manage appointments.
Qualifications:
Proven experience as a Personal Assistant or similar role. Excellent organizational and time management skills. Strong communication skills, both written and verbal. Ability to multitask and prioritize effectively. Discretion and confidentiality are essential. Proficiency in Microsoft Office Suite and other relevant software. Proactive and able to take initiative. Ability to thrive in a fast-paced and dynamic environment. All applicants will undergo a drug test, background check, and motor vehicle report.
