Position Overview The Executive Assistant (EA) plays a vital role in supporting the CEO and executive leadership team, driving key initiatives and ensuring seamless operations at the highest level. This position extends beyond traditional administrative duties, requiring strategic involvement in executive decision-making, confidential business matters, and high-priority projects. The EA represents the company in leadership meetings, fosters internal and external relationships, and contributes to organizational success. The ideal candidate is highly organized, proactive, and detail-oriented, with strong communication skills, discretion, and the ability to manage multiple responsibilities independently. Proficiency in Microsoft Office, excellent writing skills, and a collaborative mindset are essential for success in this role. The value you’ll bring to the team: + Track all action items and deliverables across stakeholders, drive accountability, and provide transparency to the CEO on project progress and execution. + Oversee complex calendars, schedule meetings, coordinate deadlines, and ensure optimal time management for the CEO. + Prioritize and manage the CEO’s inbox, draft responses, and handle correspondence to ensure efficiency, professionalism, and timely decision-making. + Organize and prepare for meetings by gathering documents, coordinating logistics, attending sessions, capturing key takeaways, and tracking action items to completion. + Represent the CEO in meetings, strategy sessions, and high-level discussions when necessary, ensuring decisions and directives are carried forward. + Act as a bridge between executives, department heads, and external partners to implement and monitor executive directives, escalating issues as needed. + Manage high-level business matters with discretion, ensuring strict confidentiality and compliance with corporate policies and regulations. + Oversee company-wide projects, leadership conferences, and key events, ensuring alignment with business priorities. + Prepare, review, and proofread reports, presentations, executive briefings, and key business communications with accuracy and clarity. + Prepare and submit expense reports, track budgets, and ensure financial compliance, working closely with accounting and finance teams. + Maintain operational efficiency, streamline processes, and remove bottlenecks to support business continuity. + Encourage efficiency, teamwork, and accountability across all business functions to drive success. Qualifications: + High School diploma or GED; Plus a minimum of 2+ years of relevant EA experience and 4+ years + Ability to work independently, anticipate needs, and seek help when necessary. + Self-starter who thrives in fast-paced, deadline-driven environments. + Strong verbal and written communication skills for clear and effective information sharing. + Proficient in Microsoft Office Suite with the ability to learn new systems. + Excellent time management and ability to meet deadlines. + Highly organized with strong attention to detail. + Strong judgment, decision-making, and problem-solving skills. + Maintains confidentiality and handles sensitive information with discretion + Acts with integrity, collaborates effectively, and continuously improves processes.
