As the Executive Assistant, you will serve as the primary gatekeepers to the company’s Executives.
This role is crucial because it is fundamental in keeping leadership focused, protected, and productive so they can keep the business moving at peak velocity by eliminating tactical drag, preventing decision fatigue, and executing high-leverage administrative operations. You will support the Executives with personal and business-related, stepping in wherever needed to ensure the lives of our executives operate as smoothly as possible.
In this role, you will be responsible for everything from developing systems to manage executives tasks independently, bookings, attending speaking engagements, arranging travel, managing communication with high level clients and key stakeholders, attending meetings on the executives behalf, and business/personal tasks for the Founder & CEO. You don’t need to be perfect—you need to be emotionally intelligent, reliable, proactive, and committed to mastering the role through consistent execution and high standards.
RESPONSIBILITIES
1. Executive Support Maintain and manage all scheduling, logistics, and task coordination that enable leadership to focus on strategic execution. Optimize the Founder & CEO’s calendar for strategic priorities and energy rhythm Book all personal and business appointments proactively Resolve scheduling conflicts and anticipate calendar needs Own logistics for travel, events, and speaking engagements Handle booking, confirmations, prep briefs, and real-time adjustments Prepare for and debrief from meetings Provide agendas and materials in advance Join select meetings to capture actions and ensure follow-through Manage inbound communication across email, Slack, and text Triage messages and escalate only what’s essential 2. Time & Energy Protection Protect leadership’s most valuable asset: focused, undistracted attention. Enforce boundaries around deep work, creative, and recovery blocks Filter all time requests based on strategic value Maintain visibility and clarity across open tasks using Notion or equivalent Keep all tasks current, organized, and decision-ready 3. Communication & Decision Enablement Ensure leadership communication is strategic, on-brand, and frictionless. Draft and send communication with precision and tone control Frame decisions with context and viable options Relay updates in clear, actionable summaries Maintain strict discretion and confidentiality 4. Systems & Execution Ownership Own the structure that drives consistent output. Build and refine systems for recurring workflows (e.g., responses, meetings, travel, prep) Ensure no open loop goes untracked or unresolved Leverage internal resources before escalating decisions Continuously optimize tools and processes for speed and clarity 5. REQUIREMENTS
Experience & Skills Proven track record as an Executive Assistant or in a similar high-level support role in a fast-paced organization, such as a Chief of Staff, Operations Manager, or General Manager in a smaller business You have 3+ years of experience supporting a founder or executive in a high-growth, fast-paced environment. You think in systems, streamline inefficiencies, and proactively build better processes. You’re tech-fluent and resourceful—you can pick up almost any platform or tool independently and enjoy solving problems independently. You’re a meticulous communicator who types at least 60 WPM with accuracy—clear, fast, and detail-oriented in every message. Compensation & Benefits Compensation :
$55,000
- $70,000 per year, based on experience and demonstrated ability to proactively manage executive workflows, optimize scheduling, and execute high-impact priorities.
