Executive Assistant Swope, Rodante P.A. Tampa, FL 33605 Executive Assistant Executive Assistant needed for a fast-paced, team-oriented company that supports two personal injury law firms in Ybor City. The Executive Assistant to the Managing Partners provides high-level administrative support to the firm’s senior leadership. This position requires discretion, professionalism, and efficiency in managing a wide range of legal, operational, and organizational tasks. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced, confidential environment. Responsibilities
- Manage complex calendars for Managing Partners, including scheduling meetings, court appearances, and travel arrangements.
- Prepare, proofread, and edit correspondence, legal documents, and presentations.
- Serve as a liaison between the Managing Partners and internal/external stakeholders, including clients, vendors, and legal staff.
- Coordinate and support internal meetings, including agenda preparation, note-taking, and follow-up tasks.
- Manage confidential information with a high degree of discretion and professionalism.
- Assist with billing, expense reporting, and timekeeping for Managing Partners.
- Conduct legal or business-related research as requested.
- Support project management and strategic initiatives led by legal leadership. Qualifications
- Bachelor’s degree preferred
- 3+ years of experience supporting executives in a law firm or corporate legal department.
- Travel booking/planning experience with commercial and private entities as well as both foreign and domestic travel.
- Bilingual in English and Italian is a plus
- Event planning experience is a plus
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with legal software (e.g., FileVine or Westlaw) a plus.
- Excellent verbal and written communication skills.
- Superior organizational skills with the ability to manage multiple priorities.
- High level of professionalism, discretion, and confidentiality.
This position is in-office from 8:00am to 5:30pm Monday-Thursday and 8:00am to 3:00pm Friday. Occasionally additional overtime and on-call may be necessary. Our office is a non-smoking environment.
