Job Description

We’re looking for a highly organized and resourceful Executive Assistant to support our Vice President of Resource Development and the Resource Development Team. In this role, you’ll help drive strategic initiatives by managing high-level projects, coordinating key communications, maintaining donor databases, and managing the VP’s calendar. Prior executive-level administrative experience ( 3-5 yrs. ) strongly preferred. Exceptional organizational skills, attention to detail, and communication abilities. Working knowledge of Raiser’s Edge or similar donor databases, Familiarity with accounting/expense reporting software. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to travel and work occasional evenings or weekends as needed.
What You Will Be Doing:
Manage executive scheduling, including meetings, conferences, teleconferences, and travel. Provide administrative and project management support to the VP and Resource Development Team. Prepare and proofread high-quality materials such as reports, presentations, and correspondence. Coordinate meeting logistics and ensure appropriate documentation is shared in advance. Monitor implementation of projects and ensure compliance with policies and procedures. Maintain and validate donor database records in Raiser’s Edge and reconcile with finance reports. Develop strong working relationships with board members, internal teams, and external partners. Conduct research on current and prospective donors and prepare regular reporting. Uphold confidentiality and professionalism in all communications and data handling. Assist with special projects and perform other duties as assigned. What’s in it for you?
