CEO & COO.

Works with a diverse group of important external stakeholders, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures. We are looking for an Executive Assistant to the CEO/COO who must have: Bachelor’s degree or working towards degree or equivalent years of experience. Minimum of five years of related work experience. A detailed understanding of both non- profit and for-profit businesses and prior demonstrated ability to exercise independent judgment. Must possess a valid Florida Driver’s License and Auto Insurance.

Job Duties and Responsibilities:

Maintains Certificate of Insurances. Assists in the preparation of materials to include business plans, strategic plan, board books, etc. Coordinates and attends all Board of Directors meetings including preparing/mailing/emailing Board books and taking minutes at the meeting. Prepare/abstract information and supporting data in preparation for meetings, work project and reports. Correlates material submitted by others to executives. Organizes materials which may be presented in draft format. Monitors expenses of the President/CEO’s & COO’s office. Performs other duties as may be assigned or as judgment and/or necessity dictate.

Job Essentials:

Serves as administrator of the President/CEO’s & COO schedules (including a corporate calendar). Assists with Annual meeting planning including all travel, lodging, meals, agendas, and meeting materials. Develops and disseminates communications from the President/CEO’s & COO’s office. Tracks and staffs all special task forces developed by the President/CEO & COO ensuring the timely completion and follow-up of same. Attends all meetings with the President/CEO & COO and may attend other functions on behalf of the President/CEO & COO. BAYS is a drug-free workplace.
