Administrative Support Specialist Education & Experience Requirements:

High School Diploma or equivalent. Minimum two (2) years of administrative support experience. Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

Position Responsibilities:
Front Desk Support:

Serve as the initial point of contact at the Executive Offices in Ybor City; answer central phone line and direct calls appropriately. Greet and assist visitors, employees, and the general public, answering general inquiries or referring them to the appropriate person or department. Maintain organized and accurate visitor sign-in/sign-out logs. Manage incoming and outgoing mail distribution efficiently.

Administrative Assistant Duties:

Provide comprehensive administrative support to departmental staff as needed. Compose, type, and distribute meeting notes, confidential correspondence, forms, and moderately complex reports. Create, update, and maintain departmental forms, spreadsheets, and track important activities and deadlines. Generate reports and compile statistical data upon request. Maintain meticulous electronic and hard-copy filing systems. Independently identify and resolve routine problems within established guidelines. Attend public outreach events, training sessions, meetings, and interviews; document meeting minutes or notes as required. Schedule and confirm departmental meetings, appointments, and conferences. Arrange travel logistics for departmental staff and assist in preparing travel expense reports for reimbursement. Prepare, submit, and track purchase requisitions and internal departmental requests. Provide training and assistance to departmental staff on using office equipment and tools. Perform additional duties as assigned.
