Position Summary:
Hiring Salary Range:
$22.51 to $24.75 per hour depending on qualifications. Provides administrative, secretarial, and technical support to College executive(s) and all staff members as needed within the Division of Strategic Planning and Analysis. The position is responsible for administrative and business functions related to departmental operations, such as budget management, contract management, database management, property inventories, report generation, etc., and serves as departmental resource for monitoring, reconciling, and responding to business matters. Job Duties Performs work of a complex and often confidential nature and relieves supervisor of a wide range of administrative details. Takes initiative and uses judgement to make decisions in the absence of specific directions from supervisor. Monitors the processing of all Division budget transactions. Makes recommendations for expenses from departmental accounts and appropriate spend categories in accordance with internal College policies. Submits budget amendments and requisitions, generates receipts and tracks approvals in Workday to payment completion. Surveys renewal terms of license agreements. Contacts vendors for proposals and negotiates if appropriate. Acquires required approvals of contracts, and then initiates and follows the purchasing process. Oversees the College Data Request database, logging and managing the assignment of data requests to the appropriate department. Performs internal College audits and data integrity checks, ensuring that data has been entered into the College ERP accurately and completely. Proofreads/edits reports and other complex documents from rough drafts, making changes as needed; types/composes correspondence. Prepares and updates the state reporting verification reports for internal stakeholders. Establishes and maintains organized files, both in hard copy and electronically. Ensures Division staff are adhering to the SPA Division Data Management Guidelines. Makes copies/scans correspondence and other documents and materials as necessary, and shreds when obsolete. Serves as an annual taskforce member for a College program review. Assists in scheduling and arranging meetings for Division staff. Assists Division members with reserving meeting rooms through 25Live. Distributes mail and answers routine inquiries, determining which items can be addressed by supervisor’s subordinates, and forwards appropriate items to supervisor. Orders office supplies and equipment for the Division. Ensures cleanliness and functionality issues within the Division suite are resolved by submitting work requests through Asset Solutions/Dude Solutions and by maintaining contact with the District Office janitorial vendor. Establishes, maintains, and updates distribution lists. Performs other similar and related duties as assigned.
Minimum Qualifications:
The position requires at least an Associate degree or two-year college equivalent (at least 60 undergraduate semester hours) and at least five years of prior-related work experience.
