Key Responsibilities:
Client Experience & Communication:
Answer client calls and emails with professionalism and warmth. Ensure each interaction reflects our high standards of customer care.
Scheduling & Coordination:
Manage calendars for the executive team, coordinate inspections, field staff schedules, and subcontractor timelines.
Permitting & Documentation:
Prepare and submit permit applications. Follow up with city/county departments on approvals, inspections, and revisions.
Administrative Support:
Organize digital and paper files, manage office needs, and support executives with task management and documentation.
Banking & Bill Pay:
Make regular bank runs, handle check payments, and support bill-paying processes in line with our Profit First protocol.
Bookkeeping & Invoicing:
Enter receipts and bills into QuickBooks, assist with invoicing, and provide light financial tracking with guidance.
Content & Online Presence:
Post to company social media accounts, support blog content creation, and help maintain a consistent, professional brand image.
Qualifications:
Prior experience as an executive assistant, office manager, or similar administrative support role Proficiency with QuickBooks, Microsoft Office, Google Workspace, and scheduling tools Exceptional communication skills—both written and verbal Self-starter with strong organizational skills and follow-through Experience with permitting or willingness to learn local construction permitting processes Social media fluency and ability to create light content/posts High level of discretion, professionalism, and a problem-solving mindset Willingness to grow into new responsibilities as the company expands College degree preferred but not required Reliable transportation required for occasional errands and banking
