ASAP About the Role Nipro Corporation•Global is seeking a proactive, bilingual (English/Spanish) Executive Administrative Assistant to oversee day-to-day office operations and provide high-level support to our Corporate Executive Team. This pivotal role combines front office oversight, facility management, vendor coordination, and executive assistance to ensure a seamless, professional, and efficient workplace. Key Responsibilities Front Desk & Office Management Greet visitors and manage reception area with professionalism and hospitality Handle front desk scheduling, incoming calls, and mail distribution Coordinate meeting logistics and visitor access Facilities & Vendor Oversight Monitor office cleanliness, safety, and functionality Administer building entry and security access processes Manage vendor relationships (cleaning, vending, maintenance) Evaluate service contracts for quality and cost-effectiveness Office Supplies & Procurement Maintain inventory and reorder supplies as needed Negotiate with vendors for cost-effective solutions Track office purchases and maintain expense records Executive Administrative Support Manage executive calendars, travel arrangements, and meeting preparation Support documentation, expense reporting, and internal event planning Uphold confidentiality and professionalism in all communications Process Optimization Identify and implement best practices to improve administrative workflows Ensure smooth and efficient day-to-day operations across all functions Qualifications Education High School Diploma or equivalent (required) Associate’s degree or higher (preferred) Proven experience in front office or administrative roles Background supporting C-level executives is a plus
Bilingual:
