Our client seeks to recruit an Executive Assistant to be based in Miami, FL. The successful candidate will support the Founder’s Chief of Staff and work alongside another Executive Assistant. The team together will work and collaborate on managing the founder’s schedule, meetings, travel, and personal matters. This position requires that you are highly organized, can multitask and prioritize, are not easily overwhelmed, and not above helping with any task outside of the responsibilities below. This position requires high confidentiality and the ability to work independently with minimal supervision or direction.
Key Responsibilities & Duties:
Handle confidential matters with absolute trustworthiness; ensure interactions and transactions are ethical and convey integrity. Schedule appointments, plan meetings, keep phone and plane logs, maintain calendars, coordinate travel arrangements and process expenses. Assist in planning and arranging extensive personal and professional international and domestic travel, including, but not limited to preparing trip logistics, agendas, meeting materials, and detailed itineraries. Openness to a wide variety of tasks on the administrative spectrum (pitching in to accomplish any task dealt). Anticipate and interpret the needs of management without much direction. Greet visitors and respond to general inquiries relating to the Executive. Run ad hoc errands. Assist in keeping the Executive’s office organized. Be available 24/7.
Experience & Qualifications:
2-8 years of administrative experience supporting C-level executives. Proven ability to set standard of performance excellence for self, assumes responsibility & accountability for assignments or tasks, goes beyond what is expected. Superb tolerance for high stress/high-pressure situations; maintains composure when faced with difficult/demanding situations and/or personalities and shifts in priorities and/or tasks. Excellent oral and written communication skills, excellent grasp of grammar; actively listens; clearly and effectively conveys information; uses professional telephone skills. Exceptional sense of urgency and attention to detail. High degree of collaboration with all levels in the organization. Proven understanding of a 24/7 mentality.
