Responsibilities Provide comprehensive administrative support to executives, including managing schedules, arranging meetings, and coordinating travel plans. Maintain and organize Outlook Calendar for executives, ensuring all appointments and commitments are accurately scheduled. Assist in project coordination by tracking deadlines, managing project timelines, and facilitating communication among team members. Perform data entry tasks with precision, ensuring that all information is accurately recorded and maintained in relevant systems. Serve as the first point of contact at the front desk, greeting visitors and handling inquiries with excellent phone etiquette. Manage clerical duties such as filing, document preparation, and maintaining office supplies inventory. Utilize QuickBooks for basic financial record keeping and reporting as needed. Operate phone systems efficiently to manage incoming calls and direct them appropriately. Skills Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Proficiency in Outlook Calendar management and familiarity with other Microsoft Office applications. Excellent phone etiquette and interpersonal skills for effective communication with clients and team members. Experience with data entry tasks, ensuring accuracy and attention to detail. Knowledge of QuickBooks is a plus but not required; willingness to learn is essential. Previous experience in clerical roles or front desk operations is preferred.
