Executive Assistant to the Executive Artistic Director Full-Time | Miami, FL | Hybrid (Remote + In-Person) Vocal Youth Miami is looking for a motivated, adaptable, and quick-learning team member who’s excited to grow with us. If you’re someone who’s comfortable using technology, curious, and ready to take on meaningful work with a youth-centered music nonprofit, this could be a great fit. About Vocal Youth Miami Vocal Youth Miami empowers young people through vocal music experiences that foster self-expression, confidence, and community. We work across schools and community sites in Miami-Dade to ensure young voices are heard—literally and figuratively. Our work spans from after-school choirs to professional performance opportunities, and we are growing fast. About the Role We’re seeking a highly organized, reliable, and detail-driven individual to support Jamie Sutta, our Executive Artistic Director. This role is ideal for someone who takes ownership of tasks with consistency and care. You’ll assist with development, scheduling, donor relations, registrations, and bookkeeping. We’re looking for someone who follows through, communicates clearly, and helps lighten the load.

Key Responsibilities:

Support development efforts by tracking donor relationships, drafting letters, and assisting with fundraising communications Manage scheduling and communication for the Executive Artistic Director, ensuring timely follow-up and alignment with priorities Assist with bookkeeping and payroll (we can train you—no accounting background required) Help prepare for events and performances by coordinating logistics, materials, and follow-up Manage student registrations, including maintaining accurate records, responding to new parent inquiries, processing forms, and ensuring all student information is up-to-date and organized across platforms Maintain clean, organized internal systems, including shared files and donor databases

Who You Are:

Extremely detail-oriented and organized—you notice the small things and stay ahead of deadlines A clear communicator, both in writing and speaking Self-motivated, independent, reliable, and communicative You build strong relationships and are equally comfortable talking to donors, parents, and students Interested in arts education, or social impact Comfortable managing multiple tasks in a dynamic, mission-driven environment You care about young people and believe in our mission Bonus Skills (Not Required, But Awesome): Experience with Google Workspace, QuickBooks, and/or donor CRM tools (like Network for Good) Familiarity with Canva to assist with creating flyers, social posts, and/or light promotional materials Comfortable speaking in Spanish and/or

Haitian Creole Schedule & Compensation:

This is a full-time position with a salary range of $40,000-$50,000, commensurate with experience. We offer health insurance, generous paid time off, and paid holidays. This is a hybrid work model with a combination of remote and in-person meetings/events in Miami.
