Job Overview:
The Executive Administrative Assistant provides high-level support to Senior Vice Presidents and Vice Presidents, ensuring smooth daily operations through a wide range of executive, administrative, and office management tasks. This role requires excellent organizational and communication skills, discretion with confidential matters, and the ability to work independently in a fast-paced environment. The assistant plays a key role in calendar management, project coordination, event planning, board support, and serving as a liaison between executives and internal/external stakeholders.
Schedule and Shift:
Monday-Friday:
8:00 AM to 4:30
PM Full-Time Primary Job Responsibilities:
Manage executive calendars, prepare meeting materials, coordinate communications, and support board-related activities. Oversee office functions such as supply inventory, visitor reception, staff coordination, and operational flow. Organize and manage projects and internal/external events, handling all logistics. Arrange executive travel and assist with budget tracking and invoice processing. Provide administrative support across all executive leadership as needed. Handle all sensitive information with discretion and professionalism.
Qualification:
An associate’s degree or equivalent training/experience is required; a bachelor’s degree is preferred. 3-5 years of experience supporting executive-level positions 2-4 years in an office setting Proficient in Microsoft Office, Visio, Canva, and Adobe Acrobat Strong written, verbal, and organizational skills Ability to manage multiple tasks, meet deadlines, and work independently Capable of transcribing meeting minutes and maintaining confidentiality Bilingual in English and Spanish preferred
