In Office Location:

Dadeland, FL Responsibilities Provide administrative support to the managing partner in Miami Act proactively on behalf of partner to address and resolve issues Manage calendar and e-mail inbox for managing partner File emails in a logical manner in Outlook Organize documents in SharePoint and GoFileRoom Prepare multiple monthly reports using the firm’s time and expense management system Cultivate relationships and maintain contact with company clients and staff Function as a backup for other Administrative Assistants within the group and support other team activities as directed Process tax returns as a backup to other administrative assistants Handle incoming calls proficiently and follow through regarding issues raised with appropriate parties Develop a good working relationship with all levels of staff Compose business correspondence including letters and emails Make travel arrangements for managing partner Handle sensitive/confidential information requiring a high level of discretion Use QuickBooks to reconcile partner accounts and create reports Desired Qualifications College degree or relevant experience supporting executives in a professional services environment Excellent communication skills both verbal and written including excellent grammar and proofreading abilities Excellent technology skills including MS Word, Excel, PowerPoint and Outlook and interest in learning additional software packages as needed Ability to develop own processes and follow through with them Ability to exercise good judgment and decision making Ability to anticipate problems and act accordingly Time management skills – ability to prioritize and multi-task Ability to take initiative, be assertive and maintain confidence Ability to work overtime as needed Professional demeanor Organizational skills and detail oriented nature Bilingual Skills in Spanish and English – ability to communicate with clients in Spanish is a plus This job description is subject to change.
