Position Overview:
We’re looking for a driven, detail-oriented, and highly organized Junior Executive Assistant to support the VP of Sales . This individual will play a vital role in ensuring operational efficiency through exceptional administrative support while also assisting with some personal tasks. This is an ideal role for someone looking to grow within a world-class, high-performance sales organization.
Please Note:
This role is fully onsite in Aventura, Florida – candidates must currently reside in Florida . Remote work is not available for this position.
Key Responsibilities:
Executive Support Provide day-to-day administrative support to the VP of Sales Manage complex calendars, including scheduling internal/external meetings, calls, travel, and events Coordinate logistics for team meetings, off-sites, and sales events Track and follow up on project deadlines, deliverables, and action items Prepare reports, presentations, and briefing materials Handle confidential information with discretion and professionalism Communication & Coordination Act as liaison between the VP of Sales and internal/external departments & clients Screen and prioritize emails, calls, and meeting requests Draft and proofread internal communications and documents Take notes and prepare summaries from key meetings Personal Assistance Run occasional personal errands and assist with non-business-related tasks Support light personal scheduling and reservations (travel, dining, appointments, etc.) Provide organizational support to streamline the executive’s personal and professional life Event & Travel Support Assist with coordination and setup for company events, including occasional weekend events Occasional local travel may be required to venues and event locations Be available to support the VP of Sales during on-site functions or brand activations outside of normal business hours
Qualifications:
2+ years of experience in an executive assistant, administrative, or support role (experience in sales/marketing org a plus) Must currently reside in Florida and be available to work 100% onsite in Aventura Exceptional organizational and time-management skills Excellent verbal and written communication skills Strong sense of discretion, confidentiality, and professionalism Ability to multitask and prioritize in a fast-paced environment
Tech-savvy:
proficient in Google Workspace, Microsoft Office, and calendar/travel management tools Positive, solution-oriented mindset with a “no task too small” attitude Comfortable in a high-energy, entrepreneurial environment Ability to anticipate needs and take initiative without being micromanaged
Preferred:
Bachelor’s degree or equivalent experience Prior experience supporting a sales team or executive Familiarity with CRM tools like Salesforce or HubSpot Why Join Us?
