What You Will Do:

We are seeking a confident, resourceful, and exceptionally organized Executive Assistant to support the CEO of our fast-growing FinTech company. This is not a traditional admin role, it’s a high-trust, high-impact position for someone who thrives in dynamic environments, anticipates needs, and executes with precision. You’ll serve as the CEO’s right hand in both professional and occasional personal matters.

Job Description:

As the Executive Assistant to the CEO, you will be a trusted partner in managing the CEO’s time, communication, and strategic coordination. You will oversee a wide range of administrative and logistical functions—from managing a fast-paced calendar and organizing travel, to handling confidential information and facilitating internal communication. You will also support occasional personal tasks and act as a liaison between the CEO and internal/external stakeholders. This is a unique opportunity for someone with strong executive presence, discretion, and problem-solving skills who enjoys being at the center of a high-growth company’s operations.

Key Responsibilities:

Manage an active, fast-paced calendar with complex scheduling demands. Coordinate domestic and international travel, including itineraries, bookings, and meeting logistics. Prepare agendas, take meeting minutes, and track follow-ups with internal and external stakeholders. Handle sensitive legal and business documents with the utmost discretion. Process expense reports, track vendor invoices, and coordinate payments. Represent the CEO in meetings when necessary, relaying key information and decisions. Act as the first point of contact for internal and external communications. Support personal tasks and errands on an as-needed basis with professionalism. Coordinate logistics for board meetings, leadership offsites, and key executive events. Ensure priorities stay on track by managing deadlines, deliverables, and cross-functional communication.

Required Qualifications:

Bachelor’s Degree required. Proven expertise in calendar and travel management. Exceptional communication and interpersonal skills. Discretion and professionalism when handling confidential matters. Highly organized and detail-oriented with excellent time management skills. Proficiency in Microsoft Office Suite, Google Workspace, and modern collaboration tools. Comfortable working independently and making decisions without constant direction.

Preferred Qualifications:

Experience in fintech, startups, or supporting visionary founders. Project coordination or leadership team support background. Willingness to support occasional personal and after-hours requests. Familiarity with tools such as Slack, Notion, or Asana. Bachelor’s degree preferred but not required.
