This role requires exceptional organizational skills, discretion, and the ability to manage complex tasks with minimal supervision.
Key Responsibilities:
- Compose, edit, and proofread original correspondence, documents, reports, and presentations; handle copying, mailing, scanning, faxing, and overnight mail as needed.
- Manage appointment calendars, coordinate schedules, and arrange meetings, conferences, and related logistics, including reserving meeting spaces, hotel rooms, meals, refreshments, and audio/visual equipment.
- Provide high-level administrative support to executives, maintaining a professional and pleasant demeanor at all times.
- Act as a liaison, maintaining open communication by answering and screening internal/external calls, redirecting as necessary, taking messages, and ensuring timely follow-up on urgent or sensitive matters.
- Prepare and design correspondence, memos, charts, tables, graphs, business plans, PowerPoint presentations, and other documents; proofread for spelling, grammar, and layout, ensuring accuracy and clarity.
- Work independently and collaboratively on projects, acting as a project manager for special initiatives, including planning, scheduling, coordinating presentations, creating reports, and disseminating information and meeting minutes.
- Uphold strict confidentiality in all matters.
- Exercise sound judgment to proactively manage daily business issues with minimal direction.
- Maintain organized physical and digital filing systems for business licenses, contracts, SOWs, and other critical documents to ensure prompt retrieval.
Qualifications:
- Bachelor’s degree required.
- 5+ years of successful administrative experience, including at least 3 years supporting senior executives, preferably in a mid to large public corporation.
- Proven experience working with senior-level executives, customers, vendors, visitors, and other stakeholders.
- Exceptional written and verbal communication skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
