The ideal candidate will possess exceptional administrative skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of the executive office and requires a detail-oriented individual who can maintain confidentiality and professionalism at all times. Responsibilities Provide comprehensive executive administrative support to the CEO, including managing schedules, appointments, and travel arrangements. Maintain and organize the CEO’s Outlook Calendar, ensuring efficient time management and prioritization of tasks. Prepare and edit correspondence, reports, presentations, and other documents with a high level of accuracy and attention to detail. Handle incoming communications, including phone calls and emails, with professionalism and courtesy. Assist in office management tasks such as maintaining supplies, organizing files, and ensuring a productive work environment. Conduct research as needed to support various projects or initiatives led by the CEO. Proofread documents for clarity and correctness before distribution. Foster positive relationships with internal teams and external stakeholders through excellent customer service. Sourcing, scheduling, and managing contractors. Maintain family calendar. Work with professional Executive Assistant to coordinate schedules. Pay vendor/contractor bills as requested. Vehicle management. Booking and arranging travel, transport, and accommodations. Collating and filing expenses. Liasing with staff, suppliers, and clients. Requirements Bachelor’s degree or the equivalent years of experience preferred. 3+ years’ experience as a Personal Assistant preferred. 3+ years supporting a senior level executive in an Executive Assistant capacity preferred Must have a valid state issued Driver’s License. Proficient with computer software (Word, Excel, Power-Point, etc.). Prefer experience working in health care.
