- Hybrid work Executive Assistant & Advancement Coordinator Location West Palm Beach, FL (Hybrid) Position Overview The Project, Executive & Fundraising Operations Coordinator is a dynamic, multi-faceted role within our advancement team.
This position is instrumental in launching and executing our capital campaign, providing executive support, managing event logistics, coordinating communications, and supporting fundraising activities. Key Responsibilities Executive & Communications Support
- Provide high-level administrative support to the Advancement team.
- Manage complex calendars, travel arrangements, and confidential information.
- Manage campaign email inboxes, ensuring timely responses and efficient communication flow.
- Draft, edit, and proofread correspondence, reports, and presentations for internal and external audiences.
- Coordinate and distribute regular communications and updates to stakeholders.
- Manage the department expenses and budget. Project Management
- Attend and coordinate meetings to track progress on projects, ensuring milestones are met.
- Prepare project documentation, status reports, and presentations for internal and external stakeholders. Fundraising Program Support
- Assist with donor research, cultivation, stewardship, and recognition activities.
- Support the coordination of fundraising events, donor communications, and post-event follow-up, including venue selection, vendor coordination, catering, and technology needs.
- Maintain fundraising databases, track donor engagement, and generate reports for leadership.
- Collaborate with marketing and communications teams to develop fundraising materials and campaigns. Qualifications
- Bachelor’s degree or equivalent experience preferred.
- , executive assistance, event coordination, or fundraising support roles (preferably in education or nonprofit sectors).
- Experience managing executive communications, and drafting professional correspondence.
- Experience supporting fundraising campaigns, donor relations, or nonprofit development programs is a plus.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello).
- Experience with fundraising databases (e.g., DonorPerfect, Salesforce, or similar) is a plus.
- Exceptional organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
- Flexibility to occasionally work evenings or weekends for events and fundraising activities.
