An Executive Administrative Assistant provides high-level administrative support to top executives and project managers. Here are some key duties and responsibilities:
Job Duties:
Administrative Support :
Handling correspondence, reports, and other routine documents.
Scheduling :
Managing schedules for executives, arranging meetings, and coordinating travel arrangements.
Record Keeping :
Maintaining and organizing records and databases.
Communication :
Serving as a liaison between executives and other departments, ensuring smooth communication.
Project Assistance :
Assisting with project management tasks such as tracking bids, submittals, and contracts.
Vendor Coordination :
Coordinating with vendors and subcontractors to ensure timely delivery of materials and services.
Meeting Coordination :
Preparing for and attending meetings, taking minutes, and distributing information.
Training :
Coordinating training sessions for new hires and ensuring they are familiar with company procedures and standards.
Compliance :
Ensuring compliance with facility standards and resolving conflicts.
Public Relations :
Acting as a spokesperson for the department and providing information to the public.
Qualifications:
Education :
High school diploma or equivalent
Experience :
Minimum of three years of administrative experience, preferably in the construction industry.
