Overview:
We are seeking a highly organized and proactive Executive Administrative Assistant with 8+ years of experience, preferably in the pharmaceutical industry. This role requires strong multitasking abilities, advanced proficiency in Microsoft Office applications, and a demonstrated ability to coordinate complex scheduling and travel logistics. The ideal candidate will provide high-level administrative support to executives and teams in a fast-paced, professional environment.
Key Responsibilities:
Utilize strong computer skills to manage communications, documents, and data using Microsoft Outlook, PowerPoint, Word, and Excel (intermediate to advanced level). Prepare professional presentations and supporting materials for both internal and external audiences under general direction (presentation delivery not required). Organize and schedule internal and external meetings and conferences, including booking meeting rooms, coordinating attendees, ordering catering, and arranging clean-up services. Coordinate detailed offsite and onsite meeting logistics, both domestic and international. Liaise with other Administrative Assistants and Coordinators to manage complex travel arrangements including air and ground transportation, agenda and meeting preparation, and dinner reservations. Process and reconcile travel and expense reports using the Concur Expense Management System. Set up and manage conference calls with internal stakeholders, external partners, and customers.
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree preferred. Minimum of 8 years of executive administrative experience. Previous experience in the pharmaceutical or life sciences industry is a plus. Proven ability to handle confidential information with discretion. Excellent organizational and communication skills. Ability to work independently and manage multiple priorities efficiently.
